The payout problem

Shopify pays you in lumps. Your books pay the price.

One deposit hides dozens of orders, fees, refunds and chargebacks. Someone has to untangle it, every week, by hand.

1 deposit

Dozens of orders inside

Your bank shows one amount. QuickBooks needs to know every sale, fee and refund behind it.

Hours

Of copy-paste every month

Exporting reports, matching numbers and typing journal entries is slow, boring and easy to get wrong.

Wrong

Profit and taxes

Fees recorded as sales, refunds missed, gift cards counted as income: small mistakes, real money.

How it works

Three steps. Then it runs itself.

No spreadsheets, no exports, no rules to write.

1

Connect QuickBooks

One click, on Intuit's own secure page. Pick the first day to record, so your existing books stay untouched.

2

Confirm your accounts

Books suggests where each kind of money goes and creates the missing accounts for you. Every choice is checked first.

3

Relax

Every morning, Books records yesterday's sales, refunds and payouts. If something needs you, you get one short email.

Everything Shopify throws at your books

Built for the cases that usually go wrong.

Split payments, gift cards, chargebacks, reserves, tax-included prices, month ends. Handled, and tested to the cent.

Payouts to the cent

Each Shopify payout becomes one entry whose bank line equals the deposit. Your accountant clicks Match. Done.

One clean entry a day

Not 1,200 invoices. One summary per day, split into sales, discounts, shipping, tax and fees.

Fees and chargebacks, split out

Payment fees, chargebacks, dispute fees, reserves and Shopify bills land in their own accounts.

Refunds done right

Products, shipping and tax reversed on the refund date. Restocking fees you keep are recorded as income.

Gift cards, tips and duties

Gift cards stay a liability until they are used. Tips and duties never inflate your sales.

Tax-included prices

EU and UK style prices are split correctly: the tax comes out of the price, not on top.

Unpaid and COD orders

Cash on delivery and invoices wait in their own account, then move when the money arrives.

Month-end stays right

A sale on Oct 31 paid out on Nov 2 is October income. Your monthly profit is the real one.

Accounting you can trust

When in doubt, Books asks. It never guesses.

  • Every entry balances, checked before anything reaches QuickBooks.
  • Nothing is ever plugged. If an order doesn't add up, only that order waits, with the reason in plain words.
  • Never posted twice, even after a retry or a network cut.
  • Outages fix themselves. Temporary errors are retried automatically.
  • Your data is locked. Connection keys are encrypted, Shopify access is read-only, and QuickBooks access can be removed in one click.

Questions

Straight answers.

Do I need QuickBooks Online?

Yes. Books connects your Shopify store to your own QuickBooks Online company (Simple Start, Essentials, Plus or Advanced). You connect it in one click and log in on Intuit's page; Books never sees your password.

Will it mess up my existing books?

No. You choose the first day Books records, so nothing your accountant already entered is touched. Books only adds entries and accounts. It never edits or deletes anything in QuickBooks.

What happens when something doesn't add up?

Books refuses to guess. That one order or payout waits on the "Needs your attention" page with a plain explanation, a link to it in Shopify and a fix: try again, choose an account once, or skip it with a reason. Everything else is still recorded.

Can it post the same thing twice?

No. Every entry has a unique number. Books checks QuickBooks before posting and uses Intuit's duplicate protection, so even a retry after a network cut cannot create a second entry.

Which accounts does it use?

You choose them, with suggestions taken from your own account names. Missing ones (like "Shopify Payments Clearing") are created for you in one click. Every choice is checked against QuickBooks before it is saved.

Does it work with PayPal, gift cards and cash on delivery?

Yes. Each payment method waits in its own clearing account. Gift cards reduce the gift card liability, and payments collected later are recorded on the day they arrive.

What does my accountant see?

Clean journal entries with clear lines and numbers (for example S261001-a1b2c3 for the sales of Oct 1), and a note on each one. Skipped items keep their reason. Your accountant can get a copy of the daily summary email.
